Author Guide
Everything you need to submit, revise, and register — from your first draft to the final camera-ready version.

Section 01
Getting Started

To use ConfTrack as an author you need an account and access to at least one conference. If your institution or conference organiser has already set up an account for you, use those credentials to log in.

Create an Account

Go to the registration pageClick Register on the conference landing page or navigate to the platform login and choose "Create an account".

Fill in your detailsEnter your full name, email address, and choose a password. Your name will appear on submission records and certificates.

Verify your emailCheck your inbox for a verification link. Click it to activate your account.

Join the conferenceOn first login you may need to link your account to the conference. Use the invitation code provided by the organiser, or search for the conference by name.
ℹ️
Already been invited? If a conference admin added your email as a co-author on a paper, you will receive an invitation email. Click the link to set your password — your account is already linked to the conference.
Section 02
Submit a Paper

Navigate to Submit Paper in the left sidebar. Submission must be open (the organiser controls this window). If the button is greyed out, the submission period has not started or has closed.

Submission Form Fields

Paper Title Required · max 200 chars
The full title of your paper. A duplicate-title check runs against existing submissions in this conference.
Abstract Required · max 300 words
A plain-text summary of your paper. A word-count indicator is shown as you type.
Keywords Required · max 200 chars
Comma-separated keywords used by editors to assign reviewers.
Track Required
Select the topic track that best matches your work. Tracks are defined by the conference.
Submission Type Required
E.g. Full Paper, Short Paper, Abstract. Determines page limits and review criteria.
Presentation Format Required
E.g. Oral, Poster, Virtual. Choose how you intend to present if accepted.
Publication Preference Required
E.g. Proceedings, Journal Extension. Available options are set by the conference organiser.
Manuscript File Optional at submission
Upload a PDF of your paper. Required before the editor reviews your work. Follow the conference template.

Co-Authors

After saving the main form, you can add co-authors by email. Each co-author is assigned a role:

  • Corresponding Author — receives all notifications and is the primary contact. Only the corresponding author can edit the submission.
  • Presenter — the person who will present at the conference.
  • Co-Author — all other contributors.

Co-author email must be registered. The co-author must have an account on the platform before you can add them. If they don't, ask them to register first.

Submitting

Review all fieldsCheck that the abstract word count and keyword format are correct.

Upload your manuscriptUse the template provided on the conference guidelines page. PDF format is strongly recommended.

Click SubmitYou will see a confirmation page with your system-assigned Paper ID. Save this — it is your reference for all future correspondence about this paper.

Confirmation emailAn email is sent to all authors immediately after submission. Check your spam folder if it doesn't arrive within a few minutes.
Section 03
Save as Draft

If you are not ready to submit, click Save Draft instead of Submit. A draft requires only a title — all other fields can be filled in later.

  • Drafts are not visible to editors or reviewers.
  • Only the corresponding author can edit a draft.
  • To continue editing, go to My Papers and click Edit Draft next to your paper.
  • Once you click Submit from the edit form, the paper enters the review queue and can no longer be edited freely.
Tip: Use drafts to reserve a title early in the submission period while you finish writing your manuscript.
Section 04
Track Your Paper

View all your submissions from My Papers in the sidebar. Click any paper to see its detailed status, review feedback (when released), and available actions.

Paper Statuses

ℹ️
Privacy note: The intermediate editorial states ("With Editor", "With Reviewers") are both displayed to authors as "Under Review" to prevent premature disclosure of the editorial process.
Section 05
Responding to Reviews

When your paper receives a revision decision, you will get an email notification. Go to the paper's detail page to read the reviewer feedback and upload your revised version.

Uploading a Revision

Read the review commentsOpen the Paper Detail page. Reviewer comments addressed to authors are displayed in a collapsible panel. Confidential comments to the editor are not shown.

Prepare your revised manuscriptAddress all reviewer comments. Keep your changes clearly marked (track changes or a change log).

Write a response letterFor major revisions, a response letter is required. This is a document listing each reviewer comment and explaining how you addressed it (or justifying why you did not).

Upload filesUse the Upload Revision section on the paper detail page. Upload the revised manuscript and, if required, the response letter. The revision round number increases automatically.

Submit before the deadlineA revision deadline is shown on the paper detail page. Submissions after this date may not be considered for the current round.
⚠️
Withdrawal: You can withdraw your paper from the paper detail page before it is accepted. Withdrawn papers cannot be reactivated. Contact the organiser if you withdrew by mistake.
Section 06
Camera-Ready Submission

After your paper is accepted, the editor will request camera-ready documents. You will receive an email when this request is sent. Camera-ready files are the final, publication-ready versions.

What to Submit

The required documents depend on the conference. Common camera-ready items include:

  • Final manuscript — the complete, formatted, corrected paper (PDF)
  • Presentation slides — slides for your conference talk or poster (PPT, PDF)
  • Copyright form — signed transfer form provided by the organiser
  • Response letter — if reviewers raised issues that carried to final acceptance
  • Additional documents — any supplementary materials the conference requires

Go to the Paper Detail pageClick your paper in My Papers. A "Camera-Ready Documents" section appears when the editor has opened this stage.

Upload each documentUse the upload area for each document type. Multiple document slots may be available.

Confirm submissionA confirmation email is sent to all authors. The paper status changes to "Camera-Ready".
Download your documents: All uploaded files are available for download from the paper detail page at any time. Downloaded files are named with your Paper ID, revision round, and document type (e.g. CONF27-00001_R1_manuscript.pdf).
Section 07
Registration & Payment

Conference registration is handled separately from paper submission. Go to Registration in the sidebar. If you have multiple accepted papers, each paper requires a separate registration and payment.

Registering

Select your fee categoryCategories vary by conference (e.g. Student, Academic, Industry, Virtual). Select the correct category for each paper.

Choose a payment methodAvailable methods are displayed with full instructions — online portal (PayPal, FPX, card), bank transfer, eWallet, or cash on site. Each method shows its own instructions.

Make paymentFor online payments, click the payment link to be redirected to the secure portal. For bank transfer, use your Registration ID as the payment reference.

Upload payment proofAfter payment, upload your receipt or transaction screenshot on the Registration page. Include the Transaction/Reference ID if available.

Wait for confirmationThe conference admin verifies your proof and marks your payment as Paid. You will receive a confirmation email.
ℹ️
Student registration: If you select a student fee category, you may be asked to upload a scan of your valid student ID card for verification before your registration is confirmed.
Section 08
Certificates & Letters

After the conference, the organiser may issue certificates of participation or acceptance letters. These appear in your author portal when ready.

  • Acceptance Letter — A formal letter confirming your paper has been accepted. Available from the paper detail page under the Letters section. Useful for visa applications.
  • Certificate of Participation — Issued after attendance is recorded. Available from the Certificate section in the sidebar.
  • Certificate of Presentation — Issued to presenting authors after the session is completed.
Tip: If you need an early acceptance letter (e.g. for a visa application), contact the conference organiser directly — they can issue it from the admin panel as soon as your paper is accepted.
